As a Litigation Executive Assistant, you will be responsible for providing administrative support to the Head of Staff Counsel and other senior leaders in the litigation department. This is a remote position, offering you the flexibility to work from the comfort of your own home. If you have a strong background in administrative support, excellent communication skills, and the ability to work in a fast-paced environment, we encourage you to apply for this exciting opportunity.Key Responsibilities• Provide administrative support to senior leadership, including calendar management, scheduling meetings, and resolving scheduling conflicts• Act as a liaison with business clients, business partners, outside counsel, internal and external office staff, or vendors, ensuring effective communication and collaboration• Assist with the coordination of Continuing Legal Education (CLE) courses for the department, ensuring that all staff members are up-to-date with the latest developments in the field• Draft, edit, track changes, and proofread communications and legal documents, utilizing strong technical skills, including MS Word, Excel, and PowerPoint• Create and update organizational charts, compare document versions, and maintain accurate and organized physical and electronic files• Process expense reports, route and process invoices, and manage the intake and routing of special processes or requests• Prepare meeting agendas, materials, and presentations, and coordinate reservations for meeting space, equipment needs, and catering• Support conference event planning, including placing orders for supplies, business cards, and maintaining supply rooms• Create, edit, and update PowerPoint presentations, and create simple visual presentations, such as charts and graphs• Maintain accurate and organized physical and electronic files, ensuring compliance with company policies and procedures• Make travel arrangements, adjustments as needed, create itineraries, and coordinate ground transportation• Register guests with security, arrange for visitor/temporary badge access, reserve workspace, and act as primary point of contact for visitors• Perform other administrative tasks and projects as assigned, demonstrating flexibility and a willingness to learn and adaptEssential Qualifications• Minimum of 4 years of experience as a legal secretary, paralegal, or legal assistant, handling personal injury litigation matters• Strong technical skills, including MS Word, Excel, and PowerPoint, with the ability to learn and apply new software and systems• Excellent communication and task management skills, with the ability to interact confidentially with all levels of leadership• Ability to work in a fast-paced environment, with high expectations, diverse assignments, and collaborative/team settings• Strong organization and priority-setting skills, with the ability to multi-task and manage multiple projects simultaneously• Ability to learn and apply large amounts of technical and procedural information, with a strong attention to detail and accuracy• Ability to communicate effectively, both verbally and in writing, with strong interpersonal skills and a professional demeanorPreferred Qualifications• Previous experience supporting senior leaders on a legal team or department, with a strong understanding of the insurance industry and litigation processes• Previous experience in the insurance industry, with knowledge of industry trends, regulations, and best practices• Notary license, or the ability to obtain and maintain one, as required by jurisdiction• Ability to type at least 40 words per minute, with strong keyboarding skills and accuracyCareer Growth Opportunities and Learning BenefitsAt Workwarp, we are committed to the growth and development of our employees.
