As a Staff Assistant, you'll be responsible for performing a wide range of administrative tasks, including:* Scheduling meeting plans, composing, and documenting* Ensuring phone coverage, welcoming and coordinating clients, and managing mail* Requesting and distributing office supplies, accommodating P-card spending, and tracking commemorations/birthday events* Organizing travel and hotel arrangements* Providing support for management presentations and special events as required* Investigating and resolving office technology issues, including phone and copier machines* Tracking and ensuring employees complete onboarding obligations, including suitable system access, task assignment, and training* Assisting in station event planning, coordination, and execution (e.g., team-building activities, lunch meetings, occasion dinners, recognition events)* Handling finance processing in Workbrain for management and care staff* Processing deprivation letters and arranging local communications and responses* Overseeing employee termination, including allowing and tasks, as required* Assisting with timekeeping capabilities, data entry, data review, compromises, and recording* Maintaining employee records, as needed* Maintaining Station meeting plans, including monthly crisis response* Accessing and managing various intermittent reports, including performance, review, cost, employee engagement, and recognition, etc.* Updating required manuals and maintaining all security-related items* Serving as a backup for other finance capabilities* Overseeing records for OSHA, security, etc. (301's, weekly, and annual)* Assisting with budget planning and compromise, including monthly closeout of landing charges* Upholding inspecting exercises as required* Tracking and confirming incentive reserves acquired* Liaising with CRE/Offices and vendors to follow local projects, as needed* Leading/Coordinating work with other care staff, as needed* Performing other duties as requiredWhat You'll Need for Success* Bachelor's Degree* Previous administrative experience* Familiarity with Microsoft Office, including Word, Excel, PowerPoint, and Outlook* Knowledge of procedures, strategies, and corporate design* Ability to focus on work, be meticulous, and comply with time constraints* Ability to multitask in a fast-paced environment and handle multiple tasks* Ability to be self-motivated and proactive* Ability to understand the functionality and utility of specific software and programsWhat You'll GetJoin the blithequark team and enjoy:* Medical benefits, including health, dental, vision, and prescription coverage, as well as virtual doctor visits and flexible spending accounts* Health programs that provide you with the tools, resources, and support you need to be your best self* A 401(k) program, with manager contributions available after one year* Other great benefits, including our Employee Assistance Program, pet insurance, and discounts on hotels, cars, travel, and moreJoin the blithequark FamilyAt blithequark, we believe in the power of diversity and inclusion.
