Feel free to advance both your personal and work life and jump ahead!About the RoleThis position is a member of the Airport Stations Group within the Customer Experience Division at blithequark. As a Staff Assistant, you will be responsible for performing a wide variety of office duties, including organizing meeting schedules, writing, filing, ensuring phone coverage, welcoming and coordinating clients, managing mail, ordering and distributing office supplies, reconciling P-card expenses, tracking anniversaries/birthdays, and arranging travel and hotel accommodations.Key Responsibilities• Assist in the planning of executive presentations and special events as required• Control, review, and monitor all local invoices through InvoiceWorks and distribute as necessary• Investigate and escalate office technology issues, including phone and copier machines• Track and ensure employees complete onboarding tasks, including appropriate system access, assignment of lockers, mailboxes, uniforms, badges, fingerprinting, training, etc.• Assist in station event planning, coordination, and execution (e.g., Do Team, lunch meetings, holiday parties, recognition events)• Handle payroll processing in Workbrain for management and care staff• Process termination letters and coordinate local communications and response• Manage employee parking, including permitting and assignments, as required• Assist with timekeeping functions, data entry, data verification, reconciliations, and recording• Maintain employee records, as needed• Maintain Station meeting schedules, including monthly emergency response• Access and manage various periodic reports, including performance, audit, cost, employee engagement, and recognition, etc.• Update required manuals, files, and maintain all safety-related items• Act as a backup for various payroll functions• Manage records for OSHA, safety, etc. (301's, weekly and annual)• Assist with budget preparation and reconciliation, including monthly closeout of landing fees• Support auditing activities as required• Track and verify incentive funds earned• Liaise with CRE/Offices and vendors to follow local programs, as applicable• Lead/coordinate work with other care staff, as applicable• Perform other duties as requiredRequirements for SuccessTo be successful in this role, you will need:Essential Qualifications• Bachelor's Degree• Past office/administrative experiencePreferred Qualifications• N/ASkills, Licenses, and Certifications• Knowledge of Microsoft Office, including Word, Excel, PowerPoint, Outlook, etc.• Knowledge of policies, procedures, and corporate design• Ability to focus on work, be detail-oriented, and meet deadlines• Ability to work in a high-speed environment and handle multiple tasks simultaneously• Ability to be self-motivated with strong organizational skills• Ability to understand concepts and functionality of specific software and programsWhat You'll GetAt blithequark, we offer a comprehensive benefits package, including:• Medical benefits: access to health, dental, prescription, and vision benefits from day one• Wellness programs: tools, resources, and support to help you be your best self• 401(k) program: available upon enrollment, with employer contributions available after one year• Additional benefits: Employee Assistance Program, pet insurance, discounts on hotels, cars, cruises, and moreDiversity and Inclusion at blithequarkFrom the colleagues we hire to the customers we serve, diversity and inclusion are the foundation of the powerful workforce at blithequark.
