OverviewSolairus Aviation is currently searching for a full-time, designated Flight Coordinator to join a Part 91 single aircraft Gulfstream Team operating out of FXE. This position will be home-based, although preference will be given to South Florida candidates.The ideal candidate will be a standout colleague, seeking perfection in every aspect of his/her performance. Positive, upbeat, helpful attitude, a genuine team player.Join a hardworking team that strives to safely and expertly meet the travel needs of our clients while adhering to Solairus’ energetic culture of safety, service, and integrity.The Flight Coordinator serves as the central point of contact for aircraft scheduling between Solairus Aviation clients (aircraft owners), the CAM, flight crew, and maintenance personnel. The position is responsible for scheduling the aircraft, at the direction of the CAM/Client, and for arranging all services in conjunction with scheduled trips, both domestic and international. This position requires flexible hours, weekends, and holidays, based on aircraft schedule, and will report to the CAM. Will be backed up by another Solairus Coordinator/Dispatch for PTO.Essential Responsibilities/Duties• Receive trip requests from CAM/Clients and work with them to schedule the aircraft in an efficient, timely manner.• Provide clients with creative solutions to effectively meet their travel needs while ensuring the safety of the operation and adherence to regulations and policies.• Provide clients with a detailed flight itinerary and assigned crews a detailed trip sheet for each trip• Effectively and accurately communicate all aircraft schedule information to the client, client’s staff, Solairus CAM, flight crew and maintenance personnel. Communicate effectively through detailed trip sheets, international checklists, FlightBridge, and email.• Arrange trip logistics and service items as necessary to support the client and crew, both domestically and internationally to include:• Make travel arrangements for flight crew (hotels, rental cars, etc) as requested by CAM/assigned crew.• Arrange passenger services as requested (catering (if required), ground transportation, etc.)• Arrange landing and over-flight permits, airport slots, ground handling, security, eApis/GAR other passenger info systems, and customs setup/landing rights for domestic and international destinations directly with in-country handlers (direct notifications to in-country handlers).• Assist crew with visas and other international entry requirements as necessary.• Provide required documentation for and communicate with various government agencies for domestic and international operations, including Customs and Immigration as required.• Proactively obtain copies of all passenger passports and enter them into scheduling software. Retain photos/copies of all crew and passenger passports/Visas in easy-to-access shared folders.• Coordinate aircraft movement in concert with the CAM and Pilot in Command to ensure that all airspace, airport, and duty time restrictions are complied with.• Provide flight following, and ensure all support services are arranged and confirmed per the schedule.• Monitor flight and duty time limitations for flight crews to ensure compliance with applicable Federal Aviation Regulations and Solairus Flight Operations Manuals and account SOP’s.• Assist CAM/flight crew as necessary with trip analysis and planning to determine feasibility, options for fuel stops, crew augmentation, etc.• Maintain a current database of all client and flight crew contact information and preferences for the assigned account.• Other related duties as assigned by CAM, no duties/involvement on other Solairus accounts.Qualifications• Excellent Interpersonal and Customer Service Skills• Four-year college degree preferred• Dispatcher’s license preferred• Ability to work with the Solairus flight planning and scheduling software, and the Microsoft Windows and various iOS apps.• Ability to interact effectively as a team member with the CAM, Flight Crew, Maintenance, other Flight Coordinators, and Dispatchers as required.• Ability to maintain strict confidentiality in all cases regarding client information and travel schedule.• Extensive experience setting up fuel releases, international handling, eApis, customs etc.• Considerable experience communicating directly to international handlers.• Ability to quickly learn Solairus scheduling software, flight operations standards and policy, and intricacies of the account.• Well-organized and high attention to detail.• Ability to plan and prioritize, work with little supervision, and deliver excellent results without constant requests.• Knowledge of aircraft dispatch principles and aircraft trip planning, including knowledge of FAA regulations, airport information, resources available for trip planning, aircraft and trip support, and weather.Specific Qualifications/CertificationsPHYSICAL REQUIREMENTS• Seeing: must be able to read report, charts, and to use a computer. (75-100%)• Hearing: must be able to hear well enough to communicate over the phone in and person with clients and co-workers. (75-100%)• Standing/Walking: very limited. (0-15%)• Fingering/Grasping/Feeling: must be able to write, type, use a computer and use a phone. (75-100%)WORKING CONDITIONS• Normal office working conditions with moderate noise level, most likely home-based.• Hybrid work location with variable hours, adapting to the aircraft schedule, backed up by Solairus Dispatch/Coordinators.Additional Information• Pay Range - $90,000 to $130,000• Bonus - to be included in the account bonus program (evaluated/approved each year)• Benefits - full benefits, employee share of medical/dental to be paid by client• Retention bonus - full participation at the next available cycle
