Position Description

The Executive Assistant is responsible for managing the executive’s calendar, handling travel arrangements and logistics, and maintaining both digital and paper-based filing systems. This role involves preparing various documents, processing invoices and expenses, and operating standard office equipment. The Executive Assistant ensures adherence to company policies, maintains confidentiality, and supports a collaborative team environment. The role also includes guest interaction responsibilities, requiring professionalism and a service-oriented demeanor.

Key Responsibilities

Policies & Procedures

  • Maintain confidentiality and protect company and employee information.
  • Adhere to company policies and perform additional duties as assigned.

Communication

  • Respond to inquiries professionally and courteously.
  • Prepare, proofread, and edit documents for accuracy and clarity.

Collaboration

  • Handle sensitive matters with discretion and respect.
  • Foster positive relationships and support a collaborative team environment.

Administrative Support

  • Manage calendars, travel logistics, and expense reporting.
  • Process invoices and billing using Oracle AP and Concur.
  • Prepare reports, presentations, and meeting minutes.
  • Maintain department records, TEAMS site, and attendance tracking.

Candidate Profile

  • 3–5 years of administrative experience, ideally supporting executives
  • Skilled in calendar, travel, and logistics management
  • Strong communicator with proven collaboration across all levels
  • Analytical, organized, and proactive problem-solver
  • Proficient in Excel and PowerPoint; tech-savvy and independent
